How we handle and protect your information

Last updated: October 21, 2025

Look, we get it – nobody actually enjoys reading privacy policies. But we're architects, not lawyers, so we'll keep this straightforward and honest about what happens with your info when you work with us or check out our site.

What We Collect

When you reach out to us or submit a project inquiry, we'll typically collect your name, email, phone number, and whatever details you share about your project. If you're visiting our website, we might grab some basic stuff like your IP address and browser type – pretty standard web analytics.

For actual client projects, yeah, we'll need more – property details, budget info, design preferences. Can't really design your fire-resistant dream home without knowing where it's going, right?

How We Use Your Info

Here's the deal – we use your information to actually do our job. That means:

  • Responding to your inquiries (usually within 24 hours, we try)
  • Creating designs and project proposals tailored to what you need
  • Keeping you updated on your project's progress
  • Sending occasional newsletters about sustainable design trends (you can opt out anytime)
  • Meeting legal requirements – building permits, municipal filings, that kind of stuff

We're not selling your data to some random marketing company. That's not how we roll.

Who Sees Your Data

Your information stays within our team and trusted partners – engineers, contractors, municipal authorities when needed. Everyone we work with signs confidentiality agreements. We've been doing this since 2018 and take client privacy seriously.

Cookies & Tracking

Yeah, we use cookies – mostly for keeping the site functional and understanding which pages people actually look at. Google Analytics helps us see what's working. No creepy tracking or behavioral profiling though.

Your Rights (The Important Bit)

You've got control here. Under Canadian privacy laws (PIPEDA, for those keeping track), you can:

  • Request what info we've got on you
  • Ask us to correct anything that's wrong
  • Tell us to delete your data (with some exceptions)
  • Opt out of marketing emails
  • Withdraw consent anytime
  • File a complaint if we mess up

Just shoot us an email at info@ignisvortexx.info and we'll sort it out.

Data Security

We're not running some sketchy operation here. Your data's stored on secure servers with encryption, regular backups, and access controls. Our office network is protected, and we don't leave client files lying around for anyone to grab.

That said, nothing's 100% bulletproof online. We do our best to keep things locked down, but if there's ever a breach, we'll let you know right away.

Project Files & Retention

Here's something specific to architecture – we're legally required to keep project files for at least 10 years after completion. Building codes, liability insurance, all that fun stuff. So even if you ask us to delete your info, we might need to hang onto project documentation.

For general inquiries that don't turn into projects, we'll typically keep your contact info for about 3 years, then it gets purged.

Third-Party Services

We use some external tools to keep things running – email hosting, cloud storage, project management software. Companies like Microsoft, Dropbox, and a few specialized architecture platforms. They've all got their own privacy policies, and we've vetted them to make sure they're legit.

If we ever start using something new that handles your data, we'll update this policy.

Changes to This Policy

We might tweak this policy occasionally – new laws, new tools, whatever. When we do, we'll update the date at the top and let active clients know. For major changes, we'll send out an email. Checking back here once in a while isn't a bad idea either.

Questions or Concerns?

Seriously, if something here doesn't make sense or you've got privacy questions, just reach out. We're real people and we'll give you straight answers.
